Eagle is currently seeking two (2) Project Coordinators for one (1) year contract opportunities, scheduled to begin immediately.

Key Responsibilities

The successful candidates will be responsible for:

  • Setup of the program/project workspace in Content Server and manage security permissions;
  • Requesting project Operating Expense work orders for projects in initiation phase;
  • Preparing the Project Deliverable Checklist and validate it with the Project Manager and Project Delivery Manager;
  • Populating standard budget template with assigned resources and roles to create an initial financial estimate with guidance from the Project Manager;
  • Assisting Project Manager in preparing the Project Charter, perform the final Quality Assurance check for formatting and content completeness and obtain all approvals;
  • Assisting Project Manager with initiating any vendor related requests (Service Order Requests, Project Statement of Work, Technical Resource Requests) and obtain approvals;
  • Requesting project AFE upon approval of Project Charter;
  • Updating Planview with project details, schedule, and financial information to baseline the project for the Planning phase;
  • Participating and scribing for project team meetings, scrums, and workshops;
  • Updating/maintaining project documentation/logs (i.e. Project Delivery Checklist, Risk, Issue, Action Items, Decisions, etc.) as appropriate;
  • Assisting Project Manager in preparing the Project Management Plan, perform the final Quality Assurance check for formatting and content completeness and obtain all approvals;
  • Preparing Change Requests when project budget, scope, or schedule dictates and obtain approvals;
  • Ensuring all available project documentation is uploaded and organized in the Project Workspace in compliance with PMO requirements;
  • Assisting the Project Manager in preparing, running and documenting Steering Committee meetings;
  • Acting as backfill for the Project Manager when he/she is out of office to run team meetings or scrums;
  • Coordinating testing and management of results when requested by the Project Manager;
  • Assisting with Organization Change Management activities including but not limited to training and preparing communications when requested by the Project Manager;
  • Calculating and presenting financial information for the overall project to the vendor Project Manager so that the vendor Project Manager does not see other vendor costs;
  • Assisting in facilitating  and scribing the Project Lookback;
  • Preparing the initial draft of the Project Lookback Report for the Project Delivery Manager to complete;
  • Updating the Lessons Learned Repository;
  • Preparing the initial draft of the Project Completion Report for the Project Manager to complete; perform the final Quality Assurance check for formatting and content completeness and obtain all approvals;
  • Monitoring the project budget and complete the final invoice reconciliations;
  • Ensuring the Project Deliverable Checklist is adhered to and all documentation and approvals are obtained and stored in the correct location for audit compliance;
  • Ensuring the AFE is closed and the project is closed in Planview;
  • Archiving the Project Workspace;
  • Based on a monthly reporting cycle:
    • Obtain time reporting extracts from JDE/DAS and populate the budget tracking spreadsheet with Committed Hours for the previous month;
    • Obtain Actuals from Costpick/Business Object Reports and perform invoice reconciliation;
    • With guidance from the Project Manager, re-forecast the remaining project spend;
    • Revise schedule and milestone dates in Planview;
    • Import the Committed/Forecast labour and non-labour values into Planview;
    • Validate the readiness of the Status Report in Planview prior to the Project Manager adding comments and distributing it;
    • Prepare Journal Entry Transfers for project AFE and Work Orders when required;
    • Updating Planview financial information mid reporting cycle (month) if significant changes occur in the project;
  • As the project moves through project Stage Gates, update the Lifecycle Steps in Planview;
  • Contributing to the development and evolution of PMO Lifecycle, processes and document templates by providing feedback and identifying opportunities for improvement; and,
  • Assisting Project Managers with alignment to the PMO Lifecycle and processes, monitor for process and document template revisions and encourage adjustments accordingly.

Skills and Qualifications

The qualified candidate must have:

  • Financial acumen;
  • Proficiency in Microsoft Office – Excel, Word, and PowerPoint;
  • Proficiency in document management practices (i.e. SharePoint and Content Server);
  • Excellent organizational and prioritization skills;
  • Excellent verbal and written communication skills;
  • Excellent planning, forecasting, and scheduling;
  • Understanding of project management principles and best practices;
  • The ability to collaborate with team members;
  • Critical thinking and excellent problem solving skills;
  • Attention to detail; and,
  • Meeting facilitation skills.
